Sharing files and/or folders in Office365

OneDrive is an excellent option for sharing files and folders leaving you in complete control of who can access your work.  You can securely store your work and share individual files or folders  with colleagues for collaboration.  You can revoke or edit that shared access at any time.

Before sharing data please take a moment to consider any potential risk of exposing confidential information to an un-intended audience.  Ensure that your Link Settings (described below) accurately reflect the sensitivity of the data you are sharing.

Please also note that the IT Team can not access your shares or permissions or share/access documents on your behalf.


Sharing your data

  • In your OneDrive you will see a list of files and folders:
  • Hovering your mouse pointer over the name of your file anywhere on the line reveals the Sharing iCon:

  • Clicking on the Sharing iCon will bring up the Send Link Window.

  • Click on the "People you specify can edit" line to review the Link Settings.  Do you want people to be able to read only or do you want people to be able to edit documents.  This is where you specify that level of permission.

  • In the "Who .." section select the appropriate option.  Do you want anyone with the link to access your document or perhaps you're sharing with just your team or an individual?
  • In the "Other settings" section the Allow editing option is on by default.  Uncheck this to make your work read only.  If you make the file read only you then also create the option to block the download if you wish.
  • Click Apply once your permissions are set to your preferences. 
  • Once you click apply, you will be brought back to the Send Link window where a brief description of your security preferences will now be revealed.
  • Start typing the name of the individual you would like to share with; a list will drop down with auto-complete suggestions from our Office365 Network Address Book.

  • Clicking the name in the list will add the name to the access control list and leave you on the window to add another name.

  • When you have all of the names you intend to share with listed Click Send.  This will generate an email to the recipients advising them that you have shared a file with them and provide the recipients with a link to access the file(s).
